Reporting to the Payroll Manager and working as part of a high-functioning team, the Payroll Representative assists in the timely and accurate delivery of employees’ pay. The incumbent’s primary duties focus on supporting payroll operations in a consistent and confidential manner, resolving payroll discrepancies by collecting and analyzing data and responding to information requests from internal and external customers. In addition to producing accurate, compliant, and timely payrolls, this position is responsible for maintaining employee-related information including, but not limited to: tax withholding changes, bank details (direct deposit), special payments and deductions, garnishments, child support orders and liens.
Essential Duties and Responsibilities include the following. Other duties may be assigned. Levels II and III are additive, i.e., each level incorporates the previous level duties, in addition to the duties listed for that level.
Level I
- Ensures timely and accurate processing of employee’s pay.
- Demonstrates knowledge of federal and state (wage and hour) labor laws as related to the calculation of pay for hours worked, as well as payroll related regulations governed by this agency.
- Demonstrates an intermediate level of knowledge of US Payroll taxes as related to the calculation of gross to net, as well as an understanding of all related reporting requirements, including the annual W-2 reporting process.
- Communicates with plants concerning pay related issues.
- Identifies areas of process improvement as related to payroll processing, off cycle processing and overall process improvement plans.
- Assumes responsibility for reconciliation of payroll for assigned facilities. Follows company procedures and checklist for the reconciliation process.
- On a continuous basis, demonstrates the ability to learn, understand and transfer knowledge related to payroll to other team members.
- Accurately responds to all employee related questions within the required time frame, as set by management.
- Gains an understanding of the individual and team metrics; assists with documenting off cycle and reconciliation related metrics.
- Exercises strong customer service skills including listening and problem-solving relative to customer/plant/vendor inquiries.
- Exercises timely and accurate decision-making capabilities to quickly and effectively resolve customer issues resulting in customer satisfaction.
- Owns/updates assigned FAQ’s, procedures.
- Prepares and updates various reports and spreadsheets as requested by management.
- Validates, processes and reports payroll information for all frequencies of payroll processing as assigned.
- Processes timely and accurate monthly, quarterly and annual reports as related to Payroll processing, such as monthly premium processing, as well as any facilities requested reporting, etc.,
- Call tracks all employee related information in a timely and accurate fashion.
Level II
- Actively participates in Lean Events as needed.
- Demonstrates an advanced level of knowledge of US Payroll taxes as related to the calculation of gross to net, as well as an understanding of all related reporting requirements, including the annual W-2 reporting process.
- Builds strong working relationships with plant and HR resources.
- Serves as subject matter expert within specialized areas.
- Identifies areas for process improvement and assists in implementation.
- Answers complex payroll processing questions.
- Initiates learning of functions and processes for development.
- Coordinates/owns training for self and others.
Level III
- Assumes the role of project owner.
- Takes an active role in challenging existing Payroll processes and recommending changes.
- Demonstrates expertise in all payroll subject matter and is able to answer questions.
- Serves as a team leader in LEAN events.
- Develops and makes presentations with confidence in front of a group.
- Serves as the leader in related payroll processing and off cycle databases.
- Develops and conducts training in all payroll areas.
- Leads team members to think creatively in resolving issues and in reaching resolution.
- Demonstrates ability to coach and train representatives on inquiries.
- Initiates proactive communications and shares appropriate VOC (voice of the customer) to provide input to other departments/plants for policies and procedures and decision-making.
- Interacts and obtains support or influences other departments/plants/vendors.
- Researches Federal/State Wage & Hour updates and reports to management potential changes, or noncompliance.
- Increases knowledge and keeps up with the constant changes within the payroll industry, including federal/state wage and hour regulations.

Education and/or Experience
- High School Diploma or GED required.
- Associate’s or Bachelor's Degree in Business/Accounting preferred.
- 2+ years of related work experience or equivalent
- Experience in Canadian payroll processing preferred.
